Personal Injury Legal Assistant

Minimum Qualifications:

The ideal candidate will have the following minimum qualifications:

  • 2+ years of experience working in the area of plaintiff’s personal injury.
  • Familiarity with medical records and billing statements.
  • Strong verbal and written communication skills.
  • Ability to work effectively independently and in a team setting.
  • Exceptional problem solving skills.
  • Ability to exercise tact and discretion with confidential and sensitive information.
  • Proficiency in Word, Outlook, Excel, and Acrobat/Adobe Pro.
  • Knowledge of law, legal procedures, protocols, and State and Federal court systems.
  • Satisfactory knowledge of day-to-day operations of a legal office.
  • Organizational skills.

Preferred Qualifications:

The ideal candidate will have the following preferred qualifications:

  • Knowledge of case management system Aderant Total Office.
  • Knowledge of DocuSign and DropBox.
  • Knowledge of requesting medical records and bills online through a retrieval company.
  • Knowledge of Bates numbering and marking exhibits.
  • Knowledge of Minnesota No-fault insurance and arbitration process.
  • Knowledge of both Minnesota and Wisconsin State and Federal court systems.

Primary Responsibilities:

The ideal candidate will have the following primary responsibilities:

  • File Organization: Open and maintain physical and electronic files; pleading, discovery and document logs; process expenses and other administrative functions.
  • Prioritize multiple projects and heavy volume sufficient to manage progress on each case and meet applicable deadlines.
  • Legal Documents: Prepare legal documents, letters and memoranda so they are formatted in accordance with court procedures and office specifications; and that they are well written by applying knowledge of standard legal formats, legal terminology, citations, English, grammar, punctuation and spelling.
  • Calendars: Maintain calendars, schedule meetings, arrange meeting locations and make all necessary arrangements including court reporter and setting up technology.
  • Deadlines: Maintain and calendar all court and office deadlines.
  • Medical records and bills: Request, receive, review and index medical records and medical billings statements.
  • Typing/Keyboarding: Sufficient to perform skilled typing tasks with speed and accuracy.
  • Word Processing: Ability to use word processing software sufficient to type, format, edit and finalize legal documents and other written materials ensuring that they are properly formatted, grammatically correct and error-free.
  • Database Management: Ability to use or readily learn to use case management software to maintain file electronically.
  • Legal Terminology: Knowledge of legal terminology sufficient to perform the job duties effectively.
  • Customer Service Skills: Ability to use a multi-line phone system and provide courteous, effective & timely service to co-workers, other legal staff and clients/customers.
  • Physical Requirements Requires occasionally moving such articles as file boxes or heavier materials with help from others and/or moving light objects frequently.

Physical Demands

  • Required to sit for long periods of time
  • Extensive computer use and use of keyboard and mouse
  • Occasionally required to lift/and or move up to 25 pounds or more
